Meeting space is a benefit for HITEC Exhibitors in good standing.
Please see our options below to book meeting space inside the convention center, offsite at a HITEC hotel or other venue. which will enhance your company's HITEC experience.
General Meeting / Event Policies
The following policies apply to ALL meeting room rentals and off-site venues:
HFTP is committed to protecting your investment and customer base during HITEC. These policies help us deter activity by non-exhibiting vendors and collect information to determine the economic value HITEC brings to our host city.
- Only HITEC San Antonio exhibiting companies in good standing may secure meeting room space. Good standing requires exhibitor to have 50% deposit paid by deadline date of October 1, 2019, or within 30 days of the booth rental for companies booked after October 1, 2019, or full payment received by August 3, 2020. Only one meeting room is available per exhibiting company.
- If your booth space is canceled for any reason, all meeting space must be canceled and you will not be permitted to hold events during HITEC.
- Any educational presentations at your meeting must not conflict with the HITEC education schedule. Start and end times must not overlap more than 30 minutes with educational programing.
- Subletting secured space on behalf of non-exhibiting companies or selling sponsorships and/or display space at any event without specific approval from HFTP is not permitted.
Meeting attendance is limited to protect your customer base during the show unless otherwise approved by Show Management. These rules apply during HITEC show hours listed below and attendance limits do not apply before or after these hours.
Convention center meeting rooms attendance is limited to 35 participants.
Offsite venue attendance is limited to 20 participants.

Mon., October 26: 8:00 AM - 5:45 PM
Mon., October 26: 8:00 PM - 10:30 PM
Tues., October 27: 8:30 AM - 5:00 PM
Wed., October 28: 8:30 AM - 4:00 PM
Thur., October 29: 9:00 AM - 3:15 PM
HFTP reserves the right to deduct two (2) priority points from exhibiting companies holding unapproved events during official HITEC event hours as well as for holding events in direct violation of the policies outlined here.
CONVENTION CENTER MEETING ROOMS

Convention center meeting room inventory is limited and applications are processed on a first-come basis. Every effort will be made to accomodate your request.
Meeting rooms are available on the second level behind Exhibit Hall 4 (Park View) of the convention center. The exhibition hall is located on the street (first) level. Pricing information is found below:
- $1,650 per day for Park View Meeting Room (behind expo hall 4)
Exhibitor is responsible for ordering and paying for any additional auxiliary services needed such as audio visual, catering or Wi-Fi.Once application and rental payment are received, exhibitor will receive email confirmation with room number, contact information for additional services, and your event services coordinator with the convention center.

OFFSITE MEETING ROOMS/EVENTS

Offsite meeting space includes HITEC hotel meeting rooms, hospitality suites and other venues throughout the host city. Exhibitors must submit their application to HFTP for approval prior to reaching out to hotels.
- Applications for hotel meeting rooms and suites will be approved for exhibitors in good standing.
- Exhibitor is responsible for all arrangements and payments for your meeting room or event.
- Submit your off-site application to HITEC for approval.
- If approved, exhibitor will be notified and you can proceed with your arrangements.

BUSINESS SUITES
Please read the general policies above.
Each 13'x13' space includes: 8’ high wall construction with lockable door, 3’ round table and four chairs, Wastebasket, Standard carpet, Identification sign with company name.
A limited number of Business Suites are available to exhibitors and located on the show floor. Rooms do not have a ceiling and are not considered soundproof or secure.

NOTICE OF UNAUTHORIZED MEETINGS / NON-EXHIBITING VENDORS
Please help HITEC show management deter any violation or activity of non-exhibiting vendors.
If you witness or hear of any unauthorized companies (non-exhibiting vendors) holding events or meetings during HITEC, please alert the HITEC show management team, onsite at the HITEC Registration Help Desk or by email.
